Report New Members

Instructions:
Correct Processing of Associate Members
2007-2008 Academic Year

1. The following must be submitted to the Executive Offices when reporting new Associate Members.

  • New Associate Member Roster
  • Associate Member Card for each Associate Member
  • $75.00 fee per Associate Member
  • Insurance fee for each Associate Member (if after September 15th)
  • Date of Association and anticipated date of Initiation

If any of these items are missing, processing of Associate Members will be delayed until all appropriate paperwork & fees are received. Associate Member Pins & Journeys will not be shipped to the Chapter.

2. A $10.00 fine per Associate Member is assessed for late reporting, payment, or paperwork. (Late means “More than 10 days after the Association Ceremony”)

3. Collect the Associate Member fee of $75.00 from each Associate Member. Send in each individual’s check to the Executive Offices. The only exception to this is when an Associate Member pays in cash. For cash payments, deposit the money into the chapter account and write a check making sure to put the individual’s name in the memo section of the check.

4. Collect Insurance for all Associate Members. This procedure varies, as some Chapters collect insurance from the AMs and some Chapters pay the AM insurance from Chapter Funds. In addition, the insurance rate is different from Chapter to Chapter.
What you need to know: The insurance fees for Associates reported before September 15th will be invoiced with the insurance fees for initiates. The insurance fees for Associates reported after September 15th must be paid with the associate member fee (within 10 days of the ceremony).

5. Each Associate Member must completely fill out an Associate Member Registration Card.

Report New Initiates

Instructions:
Correct Processing of Initiations
2006-2007 Academic Year

  • Certificate of Initiation with correct reporting procedures.

The following must be submitted to the Executive Offices to ensure timely processing of Initiations:

  • $170.00 per Initiate (additional $75.00 per Initiate if ordering the crown set pearl badge)
  • $49.50 per Alumnus Initiate (plus Alumnus Initiate form)
  • Certificate of Initiation including Date of Initiation (with correct spellings)*

If ANY of the above items are missing, processing of Initiations will be delayed until all appropriate paperwork/fees are received. Badges and Membership Certificates will not be ordered or shipped to the Chapter.

1. Collect the initiation fee of $170.00 per Initiate PRIOR to the Initiation Ceremony. Send in the individual checks to the Executive Offices (with Certificate of Initiation). The only exception to this is when an individual pays in cash. In such a case deposit the cash into the chapter account and write a check - making sure to put the individual’s name in the memo section of the check.

Article III, Section 1 of the National By-Laws specifically states that: “An undergraduate may not participate in any of the Initiation proceedings until his Initiation fee has been paid to the chapter treasurer. This fee is the property of the International Fraternity, and the treasurer is guilty of misapplication of funds to commingle this fee in the chapter accounts.”

2. Prior to Initiation: an Associate Member Registration Card, form, and all fees must have been submitted to the Executive Offices. This information should have been submitted at the beginning of the Associate Member education period and should already be on file in our offices. See “Correct Processing of Associate Members” for details.

3. A $10.00 fine per Initiate is assessed for late reporting, payment, or paperwork (10 days after ceremony). Please submit all paperwork & payments within 10 days of the Initiation ceremony to avoid any late fees.

*The information provided on the Certificate of Initiation is used in ordering membership certificates and wallet cards. If incorrect information is provided, there will be a reorder charge of $15.00 per certificate. Please have your new Initiates double check the spelling of their names!
